Amex reason code FR4 is the code for a charge tied to the Immediate Chargeback Program. It appears when a Card Member disputes a charge and your account is in that program. The money can leave your account before Amex contacts you.

What is Amex reason code FR4?

FR4 sits in the Chargeback Programs group of Amex reason codes. It is a flag on your account, not a claim about fraud. It is a flag that your account is in a program for merchants with high dispute rates.

When a Card Member disputes a charge, the dispute is first worked on with the Card Member. The merchant is contacted only after that. If more information is needed, the merchant receives either an Inquiry or a Chargeback.

Why FR4 triggers an immediate chargeback

Normally, Amex first checks the documents it has on file. If they do not settle the dispute, you get an Inquiry. You get a chance to answer before anything else happens.

The Immediate Chargeback Program skips that step. If the Card Member gives enough facts, Amex may debit your account upfront. You do not get the Inquiry step. The chargeback arrives first, and your reply comes after.

If your reply settles the dispute on time, there is no Chargeback. That only applies to the Inquiry path. Once FR4 hits, you are already past that point.

How to respond to an FR4 chargeback

After a Chargeback, you can send papers that may reverse it. The best way to respond is online through your Merchant Account.

Your reply has to do two things. It must address the specific dispute reason, and it must arrive on time. If you do not reply in time, or you do not send the requested documents, the Chargeback stands.

If your reply answers the dispute and arrives on time, the Chargeback is undone. The money comes back to your account.

There is one other way out. You can show your account was not in the program when the Chargeback was filed. If that is true, the chargeback should not have been filed under FR4 at all.

Documents needed to fight an FR4 chargeback

Include a copy of the charge record or credit record with your reply. Add anything else that speaks to the Card Member's claim, such as proof of delivery or a signed receipt.

A good reply explains the documents, addresses the specific dispute reason and describes the steps taken to resolve it. Keep it short. Label each paper so the reader knows what it shows.

Tips for avoiding FR4 chargebacks

The code only applies to merchants in the program, so the fix is to stay out of it. Watch your dispute rate. Answer every Inquiry fast. A reply that settles the dispute on time means no Chargeback at all.

Refund quickly when a customer asks. A refund costs less than a chargeback, and it keeps the dispute off your record. Keep clear records of every sale, so you can answer fast when a dispute does arrive.

You can also be flagged under other programs. One is the 93 merchant fraud performance program.
